What’s new, the Building in Cloud’s news.

We are happy to announce the news of Building in Cloud released in December 2018.

This update introduces features mainly related to the document management of the CDE module.

We continuously update Building in Cloud with new features and make improvements to the features.

Homepage (available only with the CDE module)

The title of the ‘Recent documents’ box has been replaced by a drop-down list that can be activated by clicking on the title.

Through the list you can choose what to display in the preview box.

This setting will be retained even after a disconnection from the system.

Documents with status change rules: (available only for System Administrator)

Total pending: The total number of documents submitted to workflows that are waiting for a change of status (even those without expiry)

Expired: The total number of documents submitted to workflows that are waiting for a change of status and have already expired

Expiring: The total number of documents submitted to workflows that are awaiting a change of status and which are expiring

Waiting by skill: The total number of documents submitted to workflow that are waiting for a change of state (even those without expiry) grouped by skill

Waiting per user: The total number of documents submitted to workflows that are waiting for a change of status (even those without expiry) grouped by user

Documents with status change rules assigned to me:

Documents submitted to status change workflows that require the intervention of the user connected to the system is displayed; the information is related to ALL the documents uploaded in Building in Cloud.

  • Total pending: The total number of documents submitted to workflows that are waiting for a change of status (even those without expiry)
  • Expired: The total number of documents submitted to workflows that are waiting for a change of status and have already expired
  • Expiring: The total number of documents submitted to workflows that are awaiting a change of status and which are expiring

Menu Documents

The documents menu has been reorganized.

The status filter has been removed from the main menu and inserted into a new command (Document Filter) in the command bar of the “List of document”.

The commands ‘Recycle bin’ and ‘Document workflow management’ have been moved over to the “Searching documents” command.

“Searching documents” is now vailable by clicking on the command.

The “Searching documents” command has been updated with the addition of the ‘Change of state’ filter

(Available only with the CDE module)

  • Expired for days: Enabling this option will be searched documents to which a workflow has been applied and whose status change has already expired. Optionally it is possible to indicate also how many days must already have expired (leaving the field empty will be searched all the expired documents).
  • Expiring in the next days: Enabling this option will be searched documents to which a workflow has been applied and whose status change is pending. Optionally it is possible to indicate also a threshold within which the change of state must be executed (leaving the empty field will be searched all the pending documents).
  • Skills: Selecting a skill will be searched documents to which a workflow has been applied and whose status must be changed by the chosen skill.
    User: (Available only for the Administrator): Selecting a user will be searched documents to which a workflow has been applied and whose status must be changed by the chosen user.

Documents list

Document filter

The ‘Document Filter’ command has been added to the command bar.

With this command it is possible to filter the documents in the list both in the list view and in the grid view.

The ‘Change State’ box is available with the CDE module. Within this box the ‘Users’ list is only available to the administrator.

 Massive change of state

In the ‘Actions’ menu, the ‘Change status’ command has been added.

From the “Actions” menu it is possible to select the command ‘Change status’. The Actions menu is available only after selecting one or more documents.

The change in the mass status of several documents at once is only possible under these conditions:

  • The selected documents must have the same starting status.
  • The selected documents must all be submitted to the same workflow.
  • The status of documents must be editable by the user connected to the system.

Documents list (Available only with the CDE module)

In the ‘List’ view of the list of documents, the ‘Expiry days’ and ‘Skills / Users’ columns have been added.

The ‘Expiry days’ column shows the days that are missing or the days passed by the deadline to change the status required by the workflow applied to the document.

The ‘Expiry days’ column is only visible if the user connected to the system has the ‘Full’ permission.

The possible representations are:

There are 3 days to the deadline for the change of state.
This type of representation will appear only if the user connected to the system is the one who must change status or if the user connected to the system has Full permission on the document

The expiry date for the change of status has expired by 12 days.
This type of representation will appear only if the user connected to the system is the one who must change status or if the user connected to the system has Full permission on the document

There are 3 days to the deadline for the change of state.
This type of representation will appear only if the user connected to the system is NOT the one who has to change status and if the user connected to the system does not have Full permission on the document

The expiry date for the change of status has expired by 12 days.
